What is the rental fee for The Venue at Birchwood?

What is the building capacity?

Is there a deposit? When are other payments due?
Yes. When the contract is signed, to continue holding the date, we require a 50% deposit. Nine months prior to the event 25% of the remaining balance will be due. The balance will be required 90 days prior to the event.
How do I tour the venue?

How do I reserve a date?
To reserve a date email us at info@thevenueatbirchwood.com saying you are ready to book a specific date. We suggest you also include a backup date in case your preferred date is unavailable. Dates are reserved on a first requested basis. Whomever has requested to start the contract process with us by email first for a specific date will be first in line. We highly encourage you to come out in person to visit the venue prior to booking a date. You can request a tour (or face-time tour if you live out of the area) on our tour request page here, but touring is not required prior to booking a date.
Do we have to choose our vendors based on your vendors you love list?
We require you to choose from our list for a few vendors and then we provide a ‘Vendors We Love’ list for all other vendors (photographer, DJ, rentals, hair & makeup, etc.) and these vendors are not required to be chosen from that list, just suggestions of vendors we love working with. We do require all vendors provide us with any licenses and proof of insurance needed and sign our policy agreement.

How many cars does your parking lot allow?
100 cars. The Venue at Birchwood is Lyft friendly but if you have a lot of guests planning on using Lyft or uber, then we do suggest arranging other transportation or a shuttle.
What happens in case of rain?
Unlike many venues, The Venue of Birchwood has a chapel dedicated to ceremonies and also a separate reception venue. Even if you were planning an outdoor ceremony with us, it could easily be moved into the chapel without skipping a beat in case of rain. Another feature is our covered breezeway between chapel + venue that not only keeps bridal party dry on rainy days from ceremony to reception, but also all of your guests.

Do you have a cancellation wait list?
We do not keep a cancellation waiting list. As soon as a date becomes available we will post it here on our available dates page.
Do you include a wedding day coordinator?
Because a wedding day coordinator may mean something different to you then it does to us, we do not want there to be any miscommunication about who will be with you the day of your wedding or event. We will have a coordinating team manager here before you arrive and will be here throughout your wedding day. Of course, we are always happy to help and be an extra set of hands but we do require you to have a day-of coordinator or planner that will be responsible for signing off on our venue final cleanup checklist at the end of the night.
When is the next open house?
Our open house events are designed for couples who have already had a private tour of The Venue at Birchwood and have booked with us. If you have already booked your special date and are excited to find out more information, show loved ones our space, find out more about vendors, etc, then we welcome you out to one of our open houses. If we choose 1 day rental, will we have early access to location to rehearse for ceremony?
You will have access to the venue on Saturday’s and Friday’s from 10:30 am- 11:00 pm and Sunday’s from 11:00 am - 10:00 pm on your wedding day and during that time you can have your ceremony rehearsal.
Are fireworks allowed?
No, for safety reasons we do not allow fireworks. Sparklers will be allowed to send the couple off.
Can vehicles be left overnight?
No, vehicles can not be left overnight. Please advise your guests of this policy. We ask that all cars be moved from property when we close at 11:00 pm. Our gate will be kept locked after that. We appreciate you understanding this and want to remind you that we are a Lyft friendly location to and from hotels, restaurants and Nashville.
What time does music need to end?
Music on Friday and Saturday nights must conclude by 10:00 to ensure that you, all of your items and all of your vendors are off property by 11:00 pm. Music on Sundays and weeknights must conclude by 9:00 to be off property by 10:00 pm.
If I am planning on having a band, what size stage do I need?

How far in advanced do we need a final head count?
We require a final head count three weeks out from event date.
Can I get engagement or family photos made at the venue prior to event?
Of course, we encourage you attend one of our open houses to take these photos for your special day.
How and where do I purchase event insurance?
We highly recommend using Joe Easley at Country Financial. We have found that they offer the most competitive rate for day of insurance and also covers everything we require. Their policy includes The Venue at Birchwood as an additional insured. Proof of insurance must be turned in no later than 30 days prior to your event. Insurance cost starts at $190 for day of insurance with Host Liquor Liability and starts at $115 for day of insurance without liquor. To contact please call or email here.
When do I select my table layout?
You select your final table layout at your pre-wedding meeting with us three weeks prior to your event date. At this meeting you will also go over day of schedule and other details that are needed in order to help your day run smoothly. If you are a couple that is booked here at Birchwood and are within a month of your wedding, you can schedule you meeting here.
